Event Hire - Terms and Conditions

By submitting an event hire enquiry and completing payment you confirm that you have read and agree to these Terms and Conditions in full.

1. The Agreement

These Terms and Conditions govern the hire of the Indigo Soul Wellness studio (the Studio) located at 46 Shottery St, Yeronga QLD 4104 for events, workshops, and courses. They apply to all event hire bookings.

Indigo Soul Wellness reserves the right to decline any enquiry at its sole discretion. Submission of an enquiry form does not constitute a confirmed booking. A booking is only confirmed once full payment including the bond has been received.

2. Hire Rates

  • $60 + GST per hour for events up to 4 hours

  • $50 + GST per hour for events over 4 hours

  • Minimum hire of 2 hours required

  • All hire periods must include set-up and pack-down time

Hire fees are reviewed periodically. Any changes will be reflected on the website at the time of enquiry.

3. Bond

A $150 bond is required at the time of booking and is charged together with your full hire fee as a single payment.

The bond will be returned to your original payment method within 5 business days of your event provided:

  • The Studio is left in the same condition as when your hire commenced

  • All furniture, equipment, and props are returned to their original positions

  • All kitchen items are washed and put away

  • All rubbish is removed from the premises

  • No damage has occurred to the Studio or its contents

Indigo Soul Wellness reserves the right to deduct from the bond any costs associated with:

  • Cleaning fees of $55 per hour (minimum 1 hour) where the Studio is not left clean and tidy

  • Damage to the Studio, fixtures, fittings, or equipment

  • Any other costs directly resulting from your hire

If the cost of damage or cleaning exceeds the bond amount you remain liable for the difference. The bond cannot be applied as payment toward hire fees.

4. Payment

Full payment including the bond is required at the time of booking to confirm your date. Your booking is not confirmed until payment is received.

Payment is processed via Momence. You must have a valid card on file to complete your booking.

5. Cancellation Policy

  • Cancellation 14 or more days before the event — full refund of hire fee. Bond returned within 5 business days.

  • Cancellation less than 14 days before the event — 50% cancellation fee of the total hire fee. Bond returned within 5 business days provided the Studio has not been accessed.

  • Cancellation within 72 hours of the event — full hire fee forfeited. Bond returned within 5 business days provided the Studio has not been accessed.

All cancellations must be submitted in writing via email to info@indigosoulwellness.com. Cancellations via phone, text, or social media will not be accepted.

6. Postponement Policy

If you need to postpone your event it must be rescheduled within 12 weeks of the original booking date subject to availability. Failure to reschedule within 12 weeks will result in a 50% cancellation fee of the total hire fee.

7. Permitted Use

The Studio is available for wellness events only. Permitted events include yoga, pilates, sound healing, meditation, breathwork, dance, art, workshops, courses, ice bath immersions, and similar wellness or corporate activities.

The Studio must not be used for parties, social gatherings, or any activity that is not wellness-focused. Indigo Soul Wellness reserves the right to determine whether an event meets this requirement.

You must not:

  • Allow more people on the premises than the agreed capacity

  • Use the Studio for any purpose other than the event described in your enquiry form

  • Allow any person under the influence of drugs or alcohol on the premises

  • Sublet or assign your hire booking to any other party

8. Alcohol and Smoking

There is a strict zero alcohol and smoking policy on the entire premises at all times. Any breach of this policy will result in immediate termination of your hire with no refund.

9. Capacity

  • Up to 40 participants on yoga mats

  • Up to 55 participants seated

You must not exceed these limits under any circumstances.

10. Insurance

You must hold current public liability insurance of $10 million to hire the Studio. A copy of your Certificate of Currency must be provided to Indigo Soul Wellness prior to your event upon request.

Indigo Soul Wellness accepts no liability for injury, loss, or damage to you, your attendees, or your equipment while on the premises. You are solely responsible for the safety and wellbeing of all attendees at your event.

11. Equipment and Inclusions

The following are included in your hire at no additional cost:

  • 16 yoga mats, 20 cushions, cream blankets and bolsters

  • 20 fold chairs and 2 fold tables

  • Air conditioning — reverse cycle, please turn on upon arrival and off upon departure

  • Bluetooth speaker (WonderBoom) — do not move the speaker or charging cords

  • Downstairs kitchenette — teacups, teapots, plates, cutlery, glasses, kettle, cleaning supplies

  • Upstairs kitchen — glasses, sink, kettle, microwave

  • Bathrooms — one wheelchair-accessible bathroom downstairs, two bathrooms upstairs

  • Fridge on the back deck — empty the fridge before you leave

  • WiFi

  • Oil burner — bring your own essential oils

  • You are welcome to sage the space

Not included: projector or screen — please bring or hire your own.

12. Candles

Candles are permitted but must not be placed directly on the floor as they will cause damage. All candles and tea lights must be placed on a plate or stand away from flammable items. You are responsible for ensuring all candles are extinguished before leaving the premises.

13. Food

Food may be provided at your event at your own risk. Indigo Soul Wellness takes no responsibility for any food served at your event. The kitchen must be cleaned after use including washing all cups, glasses, and dishes.

Do not place food rubbish in the bins on the deck — please bag all food waste and place it in the main bins at the front of the studio.

14. Hire Period and Overtime

Your hire period includes set-up and pack-down time. Please arrive no earlier than your booked set-up time as there may be another booking finishing before you.

You must vacate the premises by your booked pack-down time. If you exceed your allocated hire period you will be charged at the standard hourly rate for any additional time.

15. Safety and Security

By hiring the Indigo Soul Wellness studio you agree to comply with the following safety and security obligations at all times during your hire period.

  • Two people must lock up together each evening using the buddy system unless otherwise arranged in advance with the Studio Director

  • The front and back doors must be closed and locked at all times when reception is unmanned and after 6pm each evening

  • From 5pm each evening the front building floodlight and carpark floodlight must be turned on. Both must be turned off before leaving

  • The lock-box code must not be shared with anyone. It will be provided to you via direct text message from our team before your event

  • No keys are to be cut without prior written approval from the Studio Director

  • All attendees must be accounted for at all times upon arrival and departure

  • You must not enter any other rooms or remove any items from rooms other than your hired space

  • You are personally responsible for ensuring the premises is fully secured when you are the last to leave — this includes all windows and doors locked, blinds closed, lights off (salt lamps may remain on), gate locked, and all keys returned to the lock-box with the lock-box properly closed and scrambled

  • Any incident, damage, or suspicious behaviour must be reported to the Admin team in writing within 24 hours

  • Call 000 immediately in any emergency

16. Loss and Damage

Indigo Soul Wellness accepts no responsibility for loss or theft of items belonging to you or your attendees before, during, or after your event.

Any damage to the Studio or its contents sustained during your hire is your responsibility and will be invoiced accordingly. If costs exceed the bond amount you remain liable for the difference.

17. Termination

Indigo Soul Wellness reserves the right to terminate a booking immediately and without refund in the event of:

  • Breach of these Terms and Conditions

  • Behaviour that is harmful, threatening, or inappropriate toward staff or other occupants

  • Use of the Studio for a purpose inconsistent with these terms

  • Any conduct that brings the reputation of Indigo Soul Wellness into disrepute

18. Governing Law

These Terms and Conditions are governed by the laws of Queensland, Australia. Nothing in these terms excludes any right or guarantee imposed by the Australian Consumer Law.

19. Acceptance

By completing payment for your event hire booking you confirm that you have read, understood, and agree to these Terms and Conditions in full.
